Things to Check Before Processing Payroll
To ensure 100% accuracy in employee earnings and deductions, Admins should verify these 5 key areas:
1. New Hires
Verify if all new employees have been added to the system and their "Employment Contracts" have been opened.
- You can add employees individually or use the bulk upload feature.
- See Add Employee at LEARN MORE
2. Resignations
For employees who have left the company, ensure that you have "Ended their Contracts" to stop future payroll calculations and ensure the final pay is prorated correctly.
- See End of Contract at LEARN MORE
3. Salary Adjustments
If there are any changes to base salaries, promotions, or compensation structures, you must "End the current contract and open a new one" with the updated salary figures.
- See Employee Salary Adjustment at LEARN MORE
4. Timesheets
Review the Timesheet records to prevent incorrect calculations for lateness or absences:
- Invalid Data: Correct any incomplete records (e.g., missing clock-in or clock-out).
- AB (Absent): Verify if the employee was truly absent or simply forgot to scan their finger/card.
- See Edit Timesheet at LEARN MORE
5. Pending Requests
Ensure all requests related to the current payroll period—such as OT, Leave, or Time Correction requests—have been processed.
- All pending items must be "Approved or Rejected" so the system can accurately include overtime pay and leave deductions in the final calculation.
💡 Summary: Once these 5 steps are completed, you can confidently proceed with the payroll run.
