Overtime Compensate to Leave Hours ***Add On***

Compensate Leave is a function that allows employees to request the Overtime hours to be converted into Compensatory Leave Hours.

The Compensatory Leave is an Add-On function.

💬 Note

If an employee works beyond their normal working hours, the system can be configured to allow those excess hours to be converted into Compensatory Leave instead of being paid as Overtime.

To enable this function, the following steps must be completed:

  1. Create a new Leave Type and designate it as Compensate Leave.
  2. Add the Compensatory Leave type to the employee's profile.
  3. Submit an Overtime request using Compensate Leave as the OT Type)..

***In the employee's Shift Schedule Settings, the Submit OT Request must be checked***

Step 1: Create a Compensate Leave Type

  1. Go to Preferences.
  2. Select Employees.
  3. Click Leaves.

  4. Click + Add.
  5. Enter a Leave Name.
  6. Tick Default checkbox if you want this Leave Type to be automatically assigned to new employees.
  7. Tick the Compensate Leave checkbox.
    1. The system will:
      1. Set the Entitlement as Fixed.
      2. Display 0 days by default.
    2. Only one leave type can be designated as Compensate leave at a time.
  8. Configure other Leave Settings as required and click Save.


Step 2: Add the Compensate Leave Type to the Employees

  1. Navigate to Employees tab.
  2. Open the employee profile and select Leaves.
  3. Add the Compensate Leave type.
    1. The system will display the Leave Allowance starting at 0 days.

SStep 3: Submit an Overtime Request using Compensate Leave

  1. Go to the Requests tab.
  2. Select Overtime.
  3. Click + New Request.

  4. Select a Company., Employee OT Date, Start Time and End Time.
  5. In the OT Type dropdown, select Compensate Leave.
  6. Enter a Remark.
  7. Attach supporting documents.
  8. Click Submit.

🚩 Rules: Rules for Converting Overtime to Compensate Leave

  1. The system only allows submission of Overtime/Compensate Leave requests for past dates.
    1. Requests for current or future dates cannot be submitted.
  2. Employees may submit other OT Type (HRP 1.5, HRP 2.0, HRP 3.0, ORP 0.5, ORP1.0, ORP 2.0) on the same day, together with a Compensate Leave Request.

Step 4: View Details in Timesheet

Once an Overtime/Compensate Leave Request is Approved, the Timesheet will display the Approved Compensate Hours under Comp Leave Hours.

Example

Requesting a conversion of Overtime Hours into a Compensate Leave. Shift time: 08:00 - 17:00.

Step 5: Check Employee's Leave Balance


Once the Compensate Leave Request is Approved, the employee's leave balance will be updated immediately.

The pricing for the "Convert Overtime Hours to Leave Days" feature depends on the number of employees in your package and will procure according to your billing cycle.
