Create a Document Template

How to create a Document Template

  1. Navigate to Reports > Standard Reports.
  2. Click Documents under Employee Reports.

  3. Click Templates tab.
  4. Click "+Add".

  5. Enter the Report Name.
  6. Select the Document Type. The available document types are::
    1. Certificates
    2. Disciplinary Documents
    3. Employment Letters
    4. Separation Documents
    5. Other
  7. Create your document using the editor. The editor supports the following features:
    1. Adjust the font size.
    2. Adjust the font style.
    3. List of Fields: Select information to display in the document. The system will automatically populate these fields using employee's profile and contract information when the document is generated.
    4. Text Formatting: Apply formatting such as bold, italic, strikethrough, and underlined.
    5. Text Alignment: Align text to the left, centre, right or justify.
    6. Lists: Create numbered or bulleted lists.
    7. Font and Background colour: Change the font colour or apply a background highlight.
    8. Image: Insert images such as Company Logo or employee photo.
      1. If an image is inserted, you may adjust its Width and Height as require
    9. Clear formatting: Remove all formatting from the selected text.
    10. Quote: Insert a quotation block.
    11. Tables: Create and customize the tables.
      1. Insert a row or column.
      2. Delete a row, column, or table.
      3. Customize cells and tables.
        1. Editable information includes: Border, Dimensions, Background, and Alignment.
  8. Set the document template status to Active to make it available for use..

  9. Submit Request: Enable this option to allow employees to submit requests for the document. This option is available only when the Document type is set to Separation Documents or Other.

  10. Click Save to create the document template.

  11. Once the document is Saved, it will appear in the Templates list.
